Quintessentially Travel is seeking a highly organized and service‑oriented Corporate Travel Coordinator responsible for managing high volumes of incentive trip bookings, ensuring each itinerary aligns with client preferences and budget requirements. This role involves communicating with clients to organize travel details, maintaining accurate trip records, and preparing final travel documents. The ideal candidate is detail‑oriented, proactive, and thrives in a fast‑paced environment while delivering exceptional customer service. Key Responsibilities Coordinate and book incentive trips based on client requests and budgets (excluding flights) Manage incoming trip inquiries and communicate with clients to organize travel plans Maintain accurate trip information within project management and travel software (e.g., Travefy) Prepare and deliver final itineraries and travel documents Update itineraries as needed for last‑minute changes or cancellations Communicate professionally with VIP clients Qualifications Minimum 1 year of experience in trip planning or travel coordination Strong communication, organization, and attention to detail Ability to manage multiple bookings and priorities simultaneously Proactive, adaptable, and committed to exceptional client service Work Schedule Core Hours: Monday to Friday, 9:30 AM – 6:00 PM EST Hybrid – onsite in our New York office twice a week, Tuesday’s and Thursday’s Occasional availability outside working hours for urgent requests or VIP needs Comprehensive Healthcare, Dental & Vision with company contribution Flexible Spending Accounts (Healthcare & Dependent Care) Generous and flexible PTO offering Birthday allowance, day off 401k, available on the first day of the month following your start date Seniority level Entry level Employment type Full-time Job function Management and Manufacturing Industries Travel Arrangements Referrals increase your chances of interviewing at Quintessentially by 2x #J-18808-Ljbffr Quintessentially
