About the Role:

We're looking for an Executive Assistant who will be responsible for providing executive-level administrative support to our leadership team and will play a key role in helping us achieve our goals. This individual will manage calendars, maintain contacts, handle confidential information with discretion, schedule complex travel arrangements, plan and coordinate meetings and perform special projects as assigned. The role must understand the business and demands of various stakeholders to be a key partner in providing proactive administrative support.

What You’ll Do:

  • Schedule and organize complex activities such as meetings, travel, conferences, and department activities for all members of the department.
  • Organize and prioritize a large volume of written correspondence and calls for executive leadership.
  • Draft and create general correspondence, memos, charts, tables, graphs, business proposals, etc.
  • Proofread copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
  • Respond to regularly occurring requests for information and meetings.
  • Act as a liaison with other internal leaders and outside organizations, including senior leaders such as CEOs, presidents, and vice presidents.
  • Handle confidential and non-routine information and explain company policies and procedures when required.
  • Act as project manager for special projects, which may include planning and coordinating multiple presentations, disseminating information, coordinating communications and events.
  • Responsible for adding, maintaining, and updating information in company CRM and reporting solutions.

The Ideal Candidate:

  • Minimum of 2 years of experience required
  • Exemplary written and interpersonal skills.
  • Must exercise excellent judgment and diplomacy in all interactions with internal and external leaders.
  • Superior organizational and prioritization skills; strong follow-through on tasks and works well under pressure.
  • Strong analytical and problem-solving skills, a proactive approach to the job with a passion for making others’ jobs easier through proactively anticipating needs.
  • Experience with calendar management, meeting and event planning, and presentation preparation.
  • Proficient with Microsoft Office-based software applications
